- HubSpotContact and deal are created
- Pipeline stageSales updates the deal
- ZapierDetects the stage change
- Meta Conversions APIConversion event sent to Meta
Starting point
The company generated most of its enquiries through Facebook Lead Ads. But leads did not reliably reach the CRM, and Meta never learned which enquiries turned into site visits or signed jobs. As a result, the ads were optimised for form fills rather than real customers. The team had no solid view of which campaigns were actually paying off.
Solution
We connected Facebook Lead Ads, HubSpot and the Meta Conversions API. Every new lead is created as a contact and deal in HubSpot the moment it comes in. When the sales team moves a deal to a new pipeline stage, the matching conversion event is sent back to Meta. That way the ad algorithm learns which leads are genuinely valuable.
Implementation
We started by defining and naming the HubSpot pipeline stages together with the client. We then set up a Zapier flow that captures lead form submissions with clean field mapping. A second Zap listens for stage changes in HubSpot and sends each event with hashed customer data to the Meta Conversions API. Finally, we verified the events in Meta Events Manager and showed the team how to keep the pipeline up to date.
